## How Call Forwarding Works

Call forwarding redirects incoming calls from your business number to Xona AI, ensuring every customer is greeted professionally — even when you’re busy or closed.

## Setup Guides by Phone Type

### Mobile

#### 1. iPhone

- Open the Settings app.

- Tap Phone .

- Tap Call Forwarding .

- Toggle Call Forwarding on.

- Enter your Xona AI number.

- Tap Back to save.

Note: Call Forwarding may not appear if your carrier does not support it or if it is disabled on your account.

#### 2. Android

- Open the Phone app.

- Tap the three-dot menu, then Settings .

- Select Calls , then Call Forwarding .

- Choose forwarding type: Always , Busy , or No Answer .

- Enter your Xona AI number.

- Tap Enable .

Note: Steps may vary slightly depending on your Android manufacturer, such as Samsung or Pixel, and carrier settings.

#### 3. Carrier Codes — all phones

Direct dial these numbers on your phone, replacing PHONE_NUMBER with your Xona AI number.

- Forward All Calls: *21*PHONE_NUMBER# then send.

- Forward When Busy: *67*PHONE_NUMBER# then send.

- Forward No Answer: *61*PHONE_NUMBER# then send.

- Forward Not Reachable: *62*PHONE_NUMBER# then send.

- Deactivate Forwarding: #21# then send.

Pro tip: Some carriers support call forwarding after a specific number of rings.

### Business Phones

Business phone settings are typically in admin settings. Contact your IT admin if you need access.

#### 1. Cisco

- Press the Services or Settings button on your Cisco phone.

- Navigate to User Preferences → Call Forward .

- Select the forwarding type: All Calls , No Answer , or Busy .

- Enter your Xona AI number.

- Press Save or the soft key to confirm.

Note: If you don’t see Call Forward options, contact your IT admin — forwarding may need to be enabled in Cisco Unified Communications Manager.

#### 2. Avaya

- Press the Menu or Admin button on your Avaya desk phone.

- Go to Features → Call Forward .

- Choose forwarding condition: Always , Busy , or No Answer .

- Dial your Xona AI number.

- Press # or OK to activate.

Note: Avaya system settings are typically managed through Avaya Aura or IP Office admin console. Ask your IT team for access if needed.

#### 3. Mitel

- Press the softkey labeled Forward on your Mitel phone.

- Select Always Forward , Busy , or No Answer .

- Enter your Xona AI number.

- Press the Forward softkey again to confirm.

- A forward icon will appear on your display when active.

Note: Mitel forwarding can also be configured via the MiCollab web portal under My Phone settings.

#### 4. Poly

- On your Poly or Polycom phone, go to Menu → Features .

- Select Forward .

- Choose the forwarding type: Always , No Answer , or Busy .

- Enter your Xona AI number.

- Select Enable to activate.

Note: Poly phones can also be configured via the Poly Lens web portal or through your system administrator.

### VoIP

Most VoIP systems include call forwarding in their online dashboard or admin portal.

#### 1. RingCentral

- Log into your RingCentral online account.

- Click Settings → Phone System → Phones & Devices .

- Select your phone or extension.

- Click the Call Handling & Forwarding tab.

- Enable forwarding and enter your Xona AI number.

- Click Save .

Pro tip: RingCentral supports schedule-based forwarding. Under Call Handling, set rules to forward only after hours or during specific time windows.

#### 2. Dialpad

- Open the Dialpad app or go to dialpad.com.

- Click your avatar, then Settings .

- Go to Your Devices or Phone Numbers .

- Find the Call Forwarding section.

- Toggle forwarding on and enter your Xona AI number.

- Click Save .

Pro tip: Dialpad’s Business Hours feature lets you automatically route calls to Xona AI outside your defined working hours.

#### 3. Google Voice

- Go to voice.google.com and sign in.

- Click the Settings gear icon in the top right.

- Select the Calls tab.

- Under Forwarding , click Add a new phone .

- Enter your Xona AI number and verify.

- Make sure the number is toggled on to receive calls.

Pro tip: Google Voice supports Do Not Disturb scheduling — combine it with forwarding to send calls to Xona AI automatically during off-hours.

#### 4. Vonage

- Log into your Vonage Business account.

- Go to Admin Portal → Phone System .

- Select the extension or line to configure.

- Navigate to Call Forwarding settings.

- Enter your Xona AI number and choose forwarding type.

- Click Save Changes .

Pro tip: Vonage Business Communications includes a Business Hours feature — use it to schedule forwarding to Xona AI automatically after closing time.

#### 5. Ooma

- Log into My Ooma.

- Go to Preferences → Privacy & Blocking .

- Find the Call Forwarding section.

- Enter your Xona AI number.

- Select forwarding type: Always , Busy , or No Answer .

- Click Save .

Pro tip: Ooma Office supports time-based routing rules. Set up a schedule to forward calls to Xona AI during evenings, weekends, or holidays.

## Frequently Asked Questions

### Will callers know their call is being forwarded?

No. Call forwarding is seamless to your customer. They dial your business number and are connected to Xona AI without any indication of forwarding.

### Does call forwarding work if my phone is off?

Yes. Call forwarding operates at the carrier level, not on your device. Calls can forward to Xona AI even if your phone is powered off or out of service, depending on the forwarding mode and carrier setup.

### Can I set up forwarding only during certain hours?

Yes. Most VoIP systems and some carriers support time-based forwarding rules. You can configure calls to forward to Xona AI only outside business hours or during specific times.

### Are there any additional charges for call forwarding?

This depends on your carrier or VoIP provider. Most plans include call forwarding at no extra cost. Check with your provider if you’re unsure.
